Data policy

In order to be able to offer you our services, we and external service providers on our behalf also process personal data collected through our site (hereinafter only referred to as “data”). In the following, we list the purposes of data processing and list the external service providers in order to clearly and concisely explain to you how and where your data is processed and how you can refuse processing.

You can access, change or delete your data from us at any time. Please write to our contact person for concerns regarding personal data (datenschutz [at] lettretage.de). They will get back to you within 72 hours. Alternatively, in the case of external service providers, you can contact them directly to retrieve, change or delete your data.

We reserve the right to change the content of this privacy policy without prior notice in order to comply with legal requirements.

Information on the individual purposes of processing

1. Hosting and email

Our websites are hosted by the German service provider webgo GmbH, Wandsbeker Zollstr. 95, 22041 Hamburg. When you visit our websites, the following data is processed in so-called server log files: Your IP address, the accessed file or link, the time you accessed it, your browser and operating system. The data is processed on the basis of our legitimate interests in accordance with Article 6 (1) (f) GDPR for security and troubleshooting purposes and is deleted after a maximum of 7 days. Data that is necessary for evidentiary purposes (e.g. in the event of abusive or fraudulent acts) will be stored until the incident has been clarified. Based on the log files, the tools “Webalizer” and “awstats”, web analysis software for statistical evaluation of user accesses, create a statistical overview of anonymized accesses.

The server used also stores a mail log file, which records every email that is received or sent by the server. It is not the content of the email that is stored, but the IP address of the respective server, as well as the sender and recipient address. The data is deleted or anonymized after four weeks.

2. Application process

As part of application processes, we process personal data from applicants for internships, freelancing, permanent positions or voluntary work. By sending us your application, you give us your consent to process the data you have provided.

The data that we need as part of an application is derived from the respective advertisement. For unsolicited applications, we need at least personal information, a curriculum vitae with the accompanying evidence of previous activities and the applicant's contact details. Additional information can be sent voluntarily.

Applicants can send us their applications via email. Please note that we have no influence on the transmission path of the application between the sender and the recipient on our server. We cannot assume any responsibility for secure transmission, as this is usually unencrypted. Instead of applying by email, applicants can also send their application by post (please use the address given in the imprint).

If the application is successful, we will continue to process the data provided in the application for the purpose of the employment relationship. If an application is not successful or subsequently withdrawn by the applicant, all of the applicant's data will be deleted. If the application is successful, the data will be deleted no later than six months after the end of the employment relationship, provided that the statutory storage requirements do not contradict this.

3. Newsletter

Lettrétage e.V. regularly sends out two newsletters: Information about our event program and information about the consultations and information offered by the schreiben&lebenExTRA project.

To send our newsletters, we use CleverReach, a newsletter platform by:

Although Cleverreach may use your data in pseudonymous form (without it being possible to assign the data to a specific person) to optimize its own services, Cleverreach may not use your data to write to you directly or pass it on to third parties.

3.1. Subscription process:

When signing up for our newsletter, we use the double opt-in procedure in accordance with the GDPR. This means: Before you become a subscriber to our newsletter, you will first receive an email asking you to confirm your subscription. This allows us to verify that you are actually the owner of the email address provided and that you agree to receive the newsletter. During the above-mentioned registration process, the IP address and also the time of registration and confirmation are stored. If you change your data later, the change is automatically made in the system and logged.

For the purpose of contacting you, we store not only your e-mail address but also your name, if you have also provided it.
The processing of your data entered in the registration form is based exclusively on your consent (Art. 6 para. 1 lit. a GDPR). The data you provide us with for the purpose of subscribing to the newsletter will be stored by us until you unsubscribe from the newsletter and delete it after you unsubscribe from the newsletter. Data that we have stored for other purposes (e.g. e-mail addresses of association members for membership purposes) remains unaffected by this.

3.2. termination:

You can withdraw your consent at any time and thus unsubscribe from receiving the newsletter. You can cancel and thus withdraw your consent yourself either automatically via the link at the end of each newsletter or by sending an e-mail to info [at] lettretage.de. The legality of the data processing operations provided remains unaffected by the revocation.

3.3. Measuring success

In order to optimize our communication with you, our newsletters contain a so-called “web beacon”. This means that when you open the newsletter, information about your browser and operating system, your IP address and the time of your retrieval is determined and stored. This information helps us to identify your reading behavior (e.g. whether the newsletter was opened, when it was opened and which links were clicked on) and the devices with which you access the newsletter so that we can create the newsletter more specifically for this purpose.

4. Contact

When you contact us (either via contact form, e-mail, telephone or social media), your details will be processed to process the request. Your request will be saved in e-mail traffic. If your request results in cooperation or a customer relationship, we reserve the right to continue using your data for just this purpose (e.g. cooperation agreement, contract, invoice).

If you contact us via the contact form, your request will be redirected directly to one or more of our email addresses and will not be cached anywhere else.

As soon as your request is no longer up to date, we will delete your data, provided that the legally required storage requirements permit.

5. Visiting our website

5.1. online shop

As part of our event program, tickettoaster GmbH, Motzstraße 1, 34117 Kassel, offers you the opportunity to order tickets online in advance. For more information about our online shop, please see Tickettoaster GmbH privacy policy.

The corresponding button to buy tickets can be found at the beginning of every event announcement in the menu item “Program and Tickets” (under “Current Program”) or alternatively at www.tickets.lettretage.de.

During the ordering and purchase process, you have the option of creating a customer account. During the registration process, you will be provided with the required mandatory information. Your user account is not public and is therefore not indexed by search engines. Should you delete your user account, please note that in the event of a legal storage obligation, your data will not be deleted but archived. If you create a user account, your IP address and the time of your respective action will be saved as part of the ordering and payment process to prevent misuse.

In order to enable payment and delivery of tickets, we or tickettoaster GmbH process your inventory, communication, contract and payment data. The purpose of processing is justified by the contractual services within the framework of the online shop — in particular: billing, shipping and customer service. The data you have provided to tickettoaster GmbH for the purpose of payment and ticket dispatch will be deleted there ten years after your ticket purchase in accordance with the tax retention requirement.

5.2. Embedded content from other websites

Posts on our website may include embedded third-party content (e.g. videos, images, text contributions, etc.). Embedded content from other websites behaves exactly as if you had visited the respective other website.

In concrete terms, this means that these websites can collect data about you, use cookies, embed additional tracking services from external service providers and record your interaction with the embedded content if you have a user account and are logged into this website.

5.2.1. Soundcloud

Audio files are stored on the “Soundcloud” platform, offered by SoundCloud Limited, Rheinsberger Str. 76/77, 10115 Berlin, Germany, and are also played back by it.

Audio files that are stored on Soundcloud are integrated using playback software that allows you to play the files in the browser. Soundcloud can measure which files are listened to and to what extent and process this information pseudonymously for statistical and business purposes.

5.2.2. Vimeo

6. Online presence on social media

We operate an online presence on the social networks Facebook, Instagram, LinkedIn and Bluesky in order to communicate with interested parties and users active there and to inform them about our events and offers. When you visit the respective networks, the terms and conditions and privacy policies of these networks apply.

If users communicate with us on these networks — either through publicly visible interaction and content writing or through non-publicly visible communication — we process your data unless otherwise stated in our privacy policy.
